Legal Document Duplication 101: On Legal Scanning, And Copy

Confidentiality is a top priority for any legal proceeding, and legal document duplication is one way of keeping all information confidential. Legal document duplication is a means for document management for the legal community. For most firms and other institutions that subscribe to such a service, legal document duplication is an SOP for handling private and confidential files and documents. Companies that offer reproduction of legal files provide several options as to how one would like to duplicate documents.

Legal Copy and CopyScan are examples of companies that offer legal scanning and duplication of courtroom documents. Legal scanning is one means of document reproduction. Legal scanning covers black and white documents, colored scanning, as well as the scanning of printed or typed documents (e.g. Pleadings) that can be edited in the computer.

Duplication of files also means copying files from one source in order to transfer it to another storage system (like a PC). Most companies, like Legal Copy, use the Fast Copy software for copying soft copy files. Litigation copying is a highly confidential process because it involves the duplication of recorded closed-door meetings and other private documents from both parties. Audio/video duplication is part of this process.

Litigation copying covers the duplication of files gathered during the entire litigation process. This includes videos, courtroom reports, recorded conferences, and even billings. Bigger legal document duplication companies even provide litigation services for court, with document copying and scanning as only one part of their services. Litigation services cover a wider scope of the litigation process. This particular service generally includes courtroom reporting, videography, interpreting, conference room scheduling, attorney services, video conferencing, medical exhibits, direct and pro-rata billing, records retrieval, x-ray services, legal demonstrative, opposing counsel services.

Opposing counsel services include the duplication and delivery of documents from the opposing counsel. This means that after the reproduced copies are given to you, the original copies are given back to the opposing counsel. It's sort of a secure delivery system for legal files between the two parties. Special services like attorney services, on the other hand, can cover both personal and corporate legal proceedings. Some of the actions they can provide you are filed chasing, court filings, and small claim preparations.

Scan to File is also another means for securely transferring legal documents into a computer. Scan to File is a system which allows long distance and direct sending of scanned files into a computer. It is also a more convenient way of electronically filing documents, all you need to do is to register the IP address of your personal computer to a One-Touch key. You can also confirm results of the transmission via email, all the more making the entire process convenient and time-saving.

These are the basics of legal document duplication. If you do decide to avail the services of a legal duplication company, make sure that they are HIPAA compliant. HIPAA stands for Health Insurance Portability and Accountability Act. An HIPAA compliant company means they adhere to the Privacy Rule stated in the said Act. This will ensure total security and privacy of all your documents.
