Purchasing a copier? 5 Tips for success
After considering your company’s printing needs and learning about the various copier features avaliable, here are a few things to consider before purchasing a copier that will ensure you are getting the best deal.
Copy Volume: If you already have a copier, check your current the usage tally. Most machines include a “click meter” that records how many pages have been printed; if you cannot find yours, either call the manufacturer or look in the user manual. If you are planning on buying a digital copier with printer-copier-scanner-fax abilities, add 30% to your total click volume. If you do not have a current copier or do not have a click meter, estimate the number of pages printed. When estimating, to be safe, add at least 10% to that number. Overestimating will allow you to overuse your machine and prevent purchasing a machine that is unable to handle your company’s printing needs.
Understand Office Needs: Understanding the speed you need copies printed and how many pages you will be copying is a big factor with copy machine price points. Avoid paying for features that will not be used. For example, know if you need color or merely black and white. If your company rarely prints high quality images, than color copiers may not be worth the added expense.
Decode the Acronyms: Copier language is full of industry specific acronym and terms, know what these terms mean. Being able to speak copier language with a sales person will ensure you get a machine that fits your needs and will help negotiate a better deal because you will understand the agreed terms.
Don’t be Shy, Ask Questions: There are many vendors selling the same machines, ask them what the best deals are for lease terms, supplies, and maintenance. What makes "company A" more attractive than "company B"? This type of competition allows room for negotiation.
Written Quotes. Itemized quotes in writing will help you visualize what features you need and then you can eliminate what you don’t. Your contract and quote should include specific terms of the service such as estimated repair response time.
Research various vendors so that you can compare quotes. Make sure that you consider supplies and maintenance and setting a budget and determining if a particular machine will fit the printing needs of your company. Determining your office's printing needs will prevent purchasing equipment features that will not be used. For example, a fax machine would be nice but if your company rarely sends faxes, maybe it is not worth the extra expense.
