Many people want to move to a paperless environment, but can they really? For the most part, I've been working on creating a paperless environment for a couple of reasons. First, I'm tired of having to manage what seems to be an endless mound of physical paper. Second, I travel with my job. I remember the days when I used to haul around physical copies of contracts. Not anymore! It's nice to have access to all my files whether I'm working in the office in San Antonio or San Francisco.

Now, I have to admit, my attachment to pieces of paper was significant and a hard habit to break. Even today, I still have to watch myself. But, the scanner sitting on my desk serves as a fine reminder to leave the paper behind. So, I've put together some tips for those of you who are considering making the same transition.

1. Scanning - Not everything needs to be scanned. But, scanning things like bills, receipts, insurance paperwork, contracts and more does make sense. I wouldn't suggest trying to scan every book you own, that's going a bit too far.

2. Adjusting - That's correct, it takes time to adjust to not having the physical paper in your hand. Give yourself time and a way to make the transition easier. Create a file called "need to shred". You can keep the paperwork around until you become comfortable with your electronic access, and then you can shed the paper.

3. Backing up data - is crucial. Be sure that you put together a reliable method of backing up your data. And, once you do that, be sure to test the method. I keep a copy on the hard drive and place a copy on an external drive. Further, I use Carbonite and send copies off site in the event something destroys my computer.

4. Helping Hand - Scanning takes time and can be quit tedious when starting the project. I suggest hiring someone to help you if you have a large volume of paperwork that needs to be scanned. The most difficult part of the transition is when you have half your data digitally and the other half on paper. Hiring someone to help you can move you to a digital format much quicker and make your system much more useful.

5. Think "File Cabinet" - I say that because it's important to think about how to access your data once it's scanned into the computer. I recommend using Globodox by ITAZ.com. Globodox is a highly scalable document management software that lets your organization manage and share documents in a secure manner.

6. Scanner - The Xerox DocuMate 515 flatbed with auto document feeder is a great value. You can purchase your scanner for around $300.00 dollars at Staples. This is what I use at my home office. You want to make sure you don't get something that requires putting each page, one at a time, on a flat bed. If it is too much trouble to scan in a new piece of paper, you won't do it.
